The Accounts Payable Specialist – Events role is responsible for the management, tracking and reporting of all Event’s budgets in collaboration with the Finance and Events Department.
Overall Responsibilities:
- Assist and coordinate the creation of all e.Republic events budgets
- Manage event budgets
- Collect and process vendor invoices related to events:
- Venue deposits
- Keynote invoices
- Final payments (facility, catering, AV etc.)
- Review all invoices, charges, reimbursement requests against budgets for accuracy
- Ensure all Staff travel is booked and coded to the correct event prior to the event date
- Review RAMP charges coded to correct events.
- Event budget updates with finance and events.
- Reconcile month, quarter, and year end.
- Updating budget line items using RAMP charges, invoices received and estimates based on attendee counts
- Upload/file event related contracts, invoices to Salesforce/RAMP
- Report on budget status to Events team
- Variance reports against budget and Prior years
- Analysis reports comparing Year over Year expense categories
- Staff Travel: Track, document, and approve staff traveller flight options, based on budget criteria
- Support synergies between the Events and Finance team to ensure accuracy and accessibility of data.
Skills/Qualifications:
- Proficiency with Microsoft Office Suite, (Excel, Word, Outlook).
- Accuracy and detail orientation.
- Minimum 5 years relevant experience
- Knowledge of Ramp is encouraged but not required.
- Strong organizational skills
- Ability to work effectively in a fast-paced and changing environment
