What you will do:
Event Planning & Execution – Oversee the end-to-end planning and execution of industry events, ensuring all logistical aspects are managed effectively.
Vendor Relations – Source, negotiate, and coordinate with vendors, including caterers, audiovisual teams, decorators, and transportation services.
Venue Selection – Identify, evaluate, and secure appropriate venues that align with event objectives and budget constraints.
Contract Negotiations – Review and negotiate contracts with venues, vendors, and service providers to ensure favorable terms and cost efficiency.
Promotional Materials – Coordinate the development and distribution of marketing materials, invitations, and other promotional assets to maximize event attendance and engagement.
Social Media- Manage and schedule content for social media accounts related to events and partnerships. Assist the VP of Strategic Partnerships in maintaining a strong online presence and engagement with key stakeholders.
On-Site Event Management – Supervise event setup, registration, and overall execution to ensure a smooth and professional experience for attendees.
Stakeholder Collaboration – Work closely with internal teams, leadership, and external partners to align event strategies with business goals.
Budget Management – Develop and manage event budgets, track expenses, and ensure cost-effective event execution.
Post-Event Analysis – Gather feedback, assess event success metrics, and provide reports with insights for continuous improvement.
What you should have:
Prior experience in corporate or industry-specific event planning.
Strong negotiation and vendor management skills.
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills.
Ability to work under pressure and meet tight deadlines
Flexibility to work evenings and weekends as needed for event execution.
Education and Experience:
Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
3+ years of experience in event planning, conference coordination, or related roles.
Physical Requirements:
This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
