MAREC Action is seeking a highly organized and proactive Operations Assistant to support the daily operations of our small organization. This role is vital in ensuring smooth office functionality and providing administrative support to the Executive Director. The ideal candidate will be detail-oriented, resourceful, and able to handle a variety of tasks efficiently.

About MAREC Action MAREC Action (MAREC informally stands for “Mid-Atlantic Renewable Energy Coalition”) is a 501.c4 non-profit dedicated to the growth of renewable energy technologies that improve our environment, diversify our electricity generation portfolio, and boost economic development in the region. Our mission is to improve and enhance the opportunities for renewable energy development in ten jurisdictions in the PJM region in and around the Mid-Atlantic, specifically: Delaware, District of Columbia, Kentucky, Maryland, New Jersey, North Carolina, Ohio, Pennsylvania, Virginia, and West Virginia. We provide education and expertise on the economic benefits and environmental sustainability of solar and wind energy; offer technical expertise and advice on operating and integrating solar and wind into the power grid; and promote fair policies, rules, and regulations to expand the region’s electric transmission system to accommodate the growth of renewable energy and energy storage.
MAREC Action is guided by a Board of Directors—comprised of member company staff representing their employers. From corporate global entities to regional renewable energy startups, MAREC Action counts more than 50 member companies as members.
MAREC Action is a small, dynamic organization seeking an Operations Assistant to help manage daily operations. As we continue to grow and expand our team, the Executive Director requires additional support to ensure the organization runs smoothly. The ideal candidate will be highly organized, resourceful, and capable of handling a diverse range of tasks efficiently.
Key Responsibilities:
- Financial Management:
- Assist with invoicing and tracking of annual dues payments, company contributions toward projects, and grants;
- Support payment of vendors and staff expense reports.
- Maintain records and ensure accuracy in data entry and reporting.
- Manage grants and grant reporting, ensuring compliance with all requirements and deadlines.
- Administrative Support:
- Assist with scheduling meetings, appointments, and managing calendars.
- Prepare and edit correspondence, presentations, reports, and other documents.
- Track and assist with state compliance filings and ethics reports.
- Assist with onboarding of new MAREC Action staff and consultants.
- Manage and organize shared cloud drive files for the organization.
- Handle incoming and outgoing communications, including emails, calls, and mail for the Executive Director.
- Assist the Executive Director as needed and perform other duties as assigned.
- Event Coordination:
- Help organize team events (i.e., Lobby Days, Board meetings, conferences).
- Customer & Stakeholder Interaction:
- Develop strong relationships with member companies and partners.
- Respond to inquiries and provide support as the first point of contact through the website.
- Manage contractors and vendors, ensuring the delivery of high-quality products and services.
Travel:
Travel for this position is infrequent but would include attendance at MAREC Action’s member meetings in the Fall and Spring. Other trips may occur, but it is not a frequent requirement.
Qualifications & Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneDrive), Google Workspace, and website management platforms (e.g., WordPress, Wix).
- Familiarity with email marketing tools (e.g., Mailchimp, Constant Contact) and CRM systems is a plus.
- Desire to learn about the renewable energy industry is a plus.
- Ability to work independently and collaboratively in a small team environment.
- High level of discretion in handling confidential information.

Location:
The position is remote, but a qualified candidate must live in or be willing to move to Greater Baltimore, Washington, D.C. Metro Area.
Salary and Benefits:
Salary pay range: $45,000 – $50,000 annually.
MAREC Action employees enjoy a flexible and supportive workplace with commensurate benefits including 20 days of personal time off (PTO) and retirement matching funds. MAREC Action does not have an employer health plan but provides an unrestricted $12,000/year stipend on top of the listed salary range.
